Invite colleagues and choose their role

Five roles, a full permissions table, and why contributors never count against your bill.

Last updated 2026-07-23

ImproveDesk has five roles. Every role can see the register and the reviews; they differ in what they can change, and in whether they can reach a few admin surfaces — billing and the support-access record.

The roles

  • Owner — everything, including changing the plan and organisation settings. Requires two-factor authentication.
  • Administrator — everything except changing the plan and organisation-level settings. Requires two-factor authentication.
  • Improvement manager — runs reviews, works corrective actions and generates evidence packs.
  • Contributor — captures, edits and scores improvements, comments, and owns actions assigned to them. Always free, on every plan.
  • Read only — sees the register and the reviews, changes nothing.

What each role can do

Every role can view the register and reviews. The table is about what each role can change and which admin surfaces it can reach. means the role has it; means it does not.

Owner and Administrator must sign in with two-factor authentication. The other three roles do not — but anyone assigned to a privileged role is prompted to set it up the first time they need it.

Why contributors are free

The people who notice problems are rarely the people with a licence. Charging per seat means the person who spots the near-miss is the person who cannot report it, so we do not do it — on any plan.

Nobody can promote themselves

Role assignment is checked against the role of the person doing the assigning, in the database rather than only in the screen: you can only assign a role at or below your own. An administrator cannot make themselves an owner, and neither can anyone else who has borrowed their session.

Frequently asked questions

Do extra people cost more?
No. Contributors are free on every plan, including paid ones. We charge for the register and the review engine, not for the number of people who can raise an idea.
Can I give someone a role above my own?
No. Nobody can assign a role higher than their own, which stops an administrator quietly promoting themselves to owner.
